Set the start, finish and doors-open time
- Starting Date/Time
- Choose the event’s start date, hour, minute and AM/PM. Enter the performance or session start, not the time staff arrive. Check the website’s configured time zone with your team.
- Finishing Date/Time
- Set the date and time the event finishes. For a show ending after midnight, use the following calendar date. Check that the finish follows the start.
- 15-minute increments
- The minute picker normally offers quarter-hour choices. Switch to 1-minute increments when a precise time such as 7:10 pm is needed.
- Quick time choices
- Reuse a suggested time when it matches your event, then verify the date and AM/PM. These shortcuts do not choose the correct date for you.
- Clear
- Removes the value for that date or time control. Save and preview after clearing an optional value so you can see the resulting presentation.
- Doors Open
- Set the admission-opening time separately from the start. This control holds a time, not a separate date. If access begins on another calendar day, explain it clearly in Content.
Example: for a Saturday performance from 8 pm until 12:30 am, use Saturday 8:00 PM as the start and Sunday 12:30 AM as the finish. Set Doors Open to 7:30 PM and repeat the useful distinction in the event description.
Choose the repeat pattern
- Recurring: blank
- Use for a single event without a repeating schedule.
- Weekly
- Repeat on the weekday established by the start date. Check the first two bookable dates in the public date selector.
- Fortnightly
- Repeat every two weeks from the starting date. The first date determines which alternating weeks are in the programme.
- Monthly
- Use for a monthly schedule based on the event date. Test months with fewer days when starting on the 29th, 30th or 31st.
- Yearly
- Use for an annual repeat. Check date selection carefully for leap-day events.
- Week Day Of Month
- Use for a pattern such as the second Thursday of each month. Choose a starting date on the intended weekday, then choose the occurrence within the month.
- Occurance of day in month
- This is the label shown in the editor. Select 1st, 2nd, 3rd, 4th or 5th for the Week Day Of Month pattern. A fifth weekday does not exist in every month; inspect the generated dates before advertising a series.
Example: the second Thursday jazz session
- Set Starting Date/Time to an actual second Thursday at the advertised start time.
- Set the appropriate finish and doors-open time.
- Choose Week Day Of Month under Recurring and 2nd under Occurance of day in month.
- Save & Preview and inspect the public date choices across several months.
- Select a later occurrence and complete an agreed test booking. Check that the selected date appears correctly in the cart, confirmation and relevant report.
- Review a month affected by daylight saving or a holiday. If a date needs to be skipped or rescheduled, agree the supported exception workflow before selling it; this editor panel has no visible exception-calendar control.
Choose the venue and attendance limit
- Location
- Choose the venue record associated with the event. Use Change to choose another location and Clear to remove the relationship. Confirm that the record is the correct room or site.
- Max. Attendees
- The overall event attendance limit. Set it deliberately and reconcile it with the ticket allocations and venue capacity. A limit for the room and a maximum quantity per customer booking serve different purposes.
Where ticket types share capacity, selling one type can reduce the room left for another. Test a mixed-ticket order and the intended recurring date. Do not enter zero as shorthand for unlimited: zero or a negative available allocation can mean sold out. Ask the team how your account represents an unlimited event.
Coordinate event capacity and ticket allocations →
The Location chooser links a venue record. Details → Venue Map contains a separate address and map configuration. Keep both consistent so guests see the right place and directions.
Accommodation dates
- Check In
- The arrival date for an event using a configured accommodation or booking workflow.
- Check Out
- The departure date for that workflow. Check that it follows Check In.
These fields do not turn a standard ticket into an accommodation reservation by themselves. Confirm how the website, booking form and confirmation use the dates before offering accommodation.
Troubleshoot dates and availability
- Wrong time on the public page
- Check AM/PM, the date, the website’s time zone and whether the latest version was published. Review a date near any daylight-saving transition.
- A repeating date is missing
- Check the repeat pattern, first date and weekday occurrence. Confirm that the relevant month actually contains that fifth weekday and that the date is within the website’s displayed range.
- The event appears but cannot be booked
- Check the published ticket records, on-sale and off-sale dates, available allocation and selected occurrence. The event date does not automatically open ticket sales.
- Changing a date after sales
- Check existing orders before editing. A saved event change is not proof that every ticket holder has received an update. Coordinate the change and customer communication with your team.
Keep going
- Create tickets, registrations and booking options
- Set the venue address and map location
- Save, preview, publish and manage event versions
